5 top tips for managing personal mobile phones in the workplace

It is important for employers to take the time to communicate their expectations regarding appropriate employee conduct to all employees when it comes to personal mobile phones in the workplace. A mobile phone policy should be expressed as clearly and unambiguously as possible, should not discriminate against any employee or group of employees and should be applied fairly and consistently across the organisation.

Here are 5 things you could include in your mobile phone policy:

  1. Employees should make personal phone calls during break or lunch times and should not take calls in the office as it may distract the other employees around them.
  2. Employees should adopt a common sense approach when making or receiving text messages or phone calls.
  3. Excessive use of mobiles, whether it be taking calls, text messaging, using personal social media platforms etc. should be closely monitored.
  4. The use of cameras on mobile phones during work time is prohibited in order to protect the privacy of the employer as well as of colleagues.
  5. If an employee is expecting an important call or needs to have access to their mobile phone in an emergency, they should inform their line manager so the policy can be relaxed for the occasion.

There are many more things you can include in a mobile phone policy, the way the policy is written differs from one organisation to another. For example, for a nursery, we would suggest implementing a zero tolerance policy, whereas in a digital marketing agency we would recommend adopting a more relaxed approach.
